    第二部分:写作应试技巧

    BEC Vantage写作考试共分为两部分, 第一部分要求考生写一篇40-50字左右的备忘录、便条或简短电子邮件;第二部分要求考生写一封120-140字左右的书信(电子邮件)或一份字数相同的报告。以下是考试准备阶段应注意的问题和应试技巧。

    1.了解写作原则:商务写作要求措辞得体、言简意赅、思路清晰、内容准确和完整。如果遵守以上几个原则, 通常可以拿到高分。

    2.熟悉各类型写作:考生要熟悉备忘录、商务信函、报告的结构特点、写作技巧及常用句型、套话等。比如了解各种书信及简历的结构特点和写法;熟悉图表作文的具体要求:如何归纳信息, 如何用词简洁等。

    3.掌握常用词句:平时可以背诵一些常用于此类文章中的起、承、转、合结构的词(组), 句型以及各种书信(如求职信、申请信、邀请信、道歉信等)中常用于开头或结尾的套话等。勤学多练, 熟能生巧。平时在阅读商务书信、报告以及做模拟题时, 要注意积累常用词汇、表达法及句型, 分析文章的构思、组织方法, 以便在写作考试时能做到有条不紊, 顺理成章。

    4.背诵写作范文:在阅读范文前可根据所给的作文题目及要求按自己的思路试写一下, 然后与范文对照找出差距, 并有意识地背诵一些代表性文章, 储存多种信息, 以防写作时无话可说。

    5.熟悉应试技巧:如何识别题目中的关键词;如何充分利用所给材料;如何描述图表内容, 提出相关问题并加以分析、说明;如何开头;如何结尾等。

    6.临场注意事项:考生在答题时应放松情绪, 一定要认真审题, 并努力按照5C(见P23)的标准进行构思和写作。选词要熟悉、简洁、具体及多样化;文章主题明确, 段落清晰, 表达的内容能让人一目了然;而且字迹要工整, 卷面要保持整洁, 给阅卷人一个好印象。写完后仔细检查作文中用词、句法方面有无不妥之处。

    因此, 想要在写作考试部分取得好成绩, 不但需要了解相应的考试要求、评分原则, 掌握各种商务写作的要领, 更需要考生平时打好基本功, 多读多写, 加强实践。总而言之, 熟能生巧(Practice makes perfect.), 积少成多(Many a little makes a miracle.)

    写作第一部分应试技巧—便条、备忘录或简短电子邮件

    (一)题型介绍

    写作第一部分要求考生写一篇40一50词的短文, 文体有便条、备忘录、简短电子邮件(一般为公司内部通讯)等。写作时, 考生首先要明白题自赋予写作者的身份, 然后确定写作中必须包含题目指定的要求;再考虑语言是否流畅, 是否有语法错误、拼写错误等。

    (二)解题技巧

    商务英语的一大特点是简易化(plain English)即:措辞简单、短句居多。因此, 考生在写作过程中应使用简易英语, 无需刻意使用难词, 这样不仅符合现代商务英语的文体特征, 同时也能大大减少语法错误。考生在答题时尤其应注意以下几点:

    1.仔细审题, 充分利用所给的材料。

    2.备忘录或便条的内容必须包含题目中的每项要点。

    3.文章必须符合备忘录或便条的一般格式, 使用的体裁必须恰当。

    4.措辞简洁, 语意连贯。

    5.切忌过多发挥, 偏离主题。

    6.尽量将字数控制在要求的范围内。

    以下分别介绍一下便条、备忘录、简短电子邮件(参见写作第二部分)的有关写作技巧:

    1.便条NOTE:

    商务便条属于公司内部上司与下属或员工与员工之间的一种非正式书面沟通方式, 一般是一对一的书面沟通。便条内容包括三方面:称呼(可以是正式的Dear十Family Name, 也可以是直呼其名, 取决于沟通双方的关系);正文(便条的内容);署名。具体格式参见下面范例:

    BEC Vantage考试中的便条一般较简短, 字数在40一50词之间, 考生可以按照以上格式进行写作。考生在写作过程中, 应不断提醒自己, 尽量做到措辞得体、言简意赅、思路清晰, 避免拖沓冗长, 但所写的内容又必须准确、完整, 不可误传信息或遗漏重要信息。

    2.备忘录MEMO:

    和便条一样, 备忘录写作的字数也在40一50词之间, 考生可以按照以上格式进行写作。但与便条写作又有所不同。便条只需写三部分:称呼、正文、署名;备忘录需要写五部分:写信人、收信人、写作日期、写作主题、正文。

    在探讨BEC Vantage商务信函或电子邮件的写作之前, 先来了解一下一般商务电于邮件的写作技巧及有关注意事项:

    (一)商务电子邮件写作简介

    1.商务英语电子邮件一般写作原则

    在撰写商务电子邮件时候应确保邮件信息明了(Clear)、内容完整(Complete、准确无误(Correct)、简明扼要(Concise)、礼貌周到(Courteous), 简称5C原则。具体内容如下:

    A.信息明确:邮件要写得清清楚楚, 毫无晦涩难懂之处, 以使收信人看了信后不会误解写信人的意图。尽量做到邮件开头开门见山, 直人正题。

    B.内容完整:邮件的内容应力求完整全面, 提供所有读者所需的信息。若是邮件的回函, 需回答来信中所提出的所有问题。

    .C.准确无误:正确性不仅仅是指英语语法、标点符号和拼写, 更重要的是书信的内容要叙述得正确, 不要说过头, 也不宜漏说略述。避免使用一些语意模糊的词语或短语, 如:

    majority, ASAP等, 以免引起不必要的纠纷。

    D.简明扼要:许多商人认为简洁是商务写作中最重要的原则, 一封拖沓冗长、措词复杂的书信不仅书写费时, 对方阅读更浪费时间, 有时干脆看不懂。因此撰写商业信件时要避免锣嗦, 用尽可能简单的文字, 完整、清楚地表达意思。

    E.礼貌周到:写邮件时要注意礼节, 语气要真诚、善解人意以及考虑周全, 不要盛气凌人;避免使用冒犯、伤害、贬低的短语, 如:your neglectful attitude, impatience, we deny your claim等;为了做到礼貌得体, 应多使用诸如“please", “your kind inquiry", “I would appreciate it if you would…”等短语。

    2.商务英语电子邮件格式范例

    常见的商务英语电子格式如下:

    3.商务英语电子邮件各个构成部分的写作介绍

    A.邮件的写信人电子邮件地址、收信人电子邮件地址、抄送收信人电子邮件地址、密送收信人电子邮件地址这四部分处理比一般信件要简单得多, 无需填写繁杂的邮政地址, 只需填入相应的电子邮件地址即可, 而且并非每一项都填, 若收信人只有一个, 就不需填写抄送收信人电子邮件地址。当填写密送收信人电子邮件地址时, 写信人将邮件发给收信人的同时, 还将邮件秘密发给了其他人, 而收信人却不知道这一事实。

    B.主题摘要(Subject):邮件的标题应当意思明确、信息具体。邮件标题是邮件内容的浓缩, 也是读者浏览信箱时决定是否读邮件的根据。邮件标题选择合适与否也影响读者处理信箱中信件的效率。因此, 为了确保收信人及时阅读邮件, 邮件的标题不仅要弓}人注目, 而且应该意思明确, 避免模糊笼统。此外, 还应注意标题应该是名词短语或动名词短语。如:

    “A:‘This is very important!Read Immediately!’

    B:‘Meeting’

    C:‘Questions about Meeting’

    D:‘Monthly Sales Meetings”’等四个标题中A项既不是名词短语, 也没有体现邮件的主_旨, B和C过于笼统, 只有D项最为妥当, 信息明确, 一目了然。

    C.称呼(Salutation):每封邮件开头称呼语应礼貌得体, 符合商务写作习惯。

    a)下属写给上司或双方关系较为正式时一般用“Dear Mr. /Mrs. /Miss/Ms.+Surname(姓), ”作为称呼, 如:“Dear Mr. Jackson, Dear Mrs. Anniston, Dear Miss Jones, ”。其中Mrs.用于已婚妇女, Miss用于未婚女子, Ms.作为未知婚否的女子礼节尊称, 相当于中文里的“女士”。

    b)若不知道对方的姓名却知道对方的商务头衔, 可用“Dear+Title, ”作为称呼, 如:“Dear Credit Manager, Dear Sales Manager, Dear Human Resources Manager, ”这些称呼比“Dear Sir。:Madam, ”要更清楚、更可取。

    c)若知道对方姓和名却无法识别对方的性别时, 不应冒险乱猜测对方的性别, 可“Dear+First name+Surname, ”作为称呼, 如:“Dear Imran Jawed, Dear Moira Gedding, ”。

    d)若邮件是一份通函, 同时发给几个人收时, 可用Dear all, 作为邮件称呼。

    e)若双方关系较亲近, 可用“Dear+First name, ”或“Hi+First Name, ”作为称呼, 后者在美国英语中尤为盛行, 如:“Dear Jack, Hi Mike, ”等。

    F)称呼后面一定要用逗号(, )与邮件的正文隔开。美国、加拿大等国的正式商务电子邮件中, 还可能会用冒号, Dear Mr. Jones:

    D.开头(Beginning):万事开头难, 商务邮件更是如此, 不过一旦掌握邮件开头的写作规律及实用句型, 这部分写作也就不难了。邮件的开头因邮件内容的不同而有所变化, 但无论何种商务邮件, 开头一般都需表明写信的缘由或主旨, 常见开头句型如下:

    a)I am writing because…

    b)I am writing in connection with…。)I am writing about…

    d)On Saturday, 3rd March, I bought a BMX Mountain bike from your shop. Since then Ihave had to return it eight times for repairs.

    e)I would like to buy 2 tickets for the Mozart concert on September 9th?

    f) The noise made by the workmen in your apartment is causing me considerable is comfort. 若是回函或写信前与收信人已经联系过(如:通过电话等), 开头应确认已收到对方的邮

    件或提及这一联系, 常见开头句型如下:

    a)Thank you for your email of May 12th in which you asked for information about holidays in Thailand.

    b)Further to our telephone call this morning, I am attaching an application form for you to complete.

    c)Further to our meeting last Tuesday, I am sending you the amendments to the contract as we agreed.

    E.正文(Body):信的正文是信函主体, 是最重要的部分。这一部分的好坏决定了整篇信函的水平和质量。写作时应牢记"5C"原则。此外, 正文写好之后应进行编排, 确保其结构清晰, 便于读者阅读。为了达到这一目的, 以下几点值得参考:

    a)使用小段落, 尽量做到每个小话题都用一个段落来阐述;

    b)段落与段落之间空一行;

    c)提供段落的刁标题;

    d)使用列举符号罗列具体信息;

    E)使用星号或下划线强调重点内容。

    3.expand the points in Part2 with relevant ideas and information
